QR Code Meet is used to run guest lists and check people in at events. Most of the personal information in it is not about you — it is about the people you invite. This page says what is held, why, and for how long.

What we hold about you

• Your email address. It is how you sign in; there is no password.
• The events you create — name, times, location, description.
• Who you work with — the people you invite to help, and what each may do.

What we hold about your guests

When you add someone to a guest list, we store their name, and whichever of email address, phone number, company and job title you provide. We also store whether and when they were checked in, and by whom.

You are the one deciding to collect this. If you are adding people who have not asked to be on a list, that is your responsibility to them, not ours to you.

We also record what happened to each invitation: when it was sent, whether it was delivered or bounced, whether the guest replied and when, and whether the message was opened. Opens are measured the way every mailing service measures them — the email contains a single invisible image, and loading it tells us the message was displayed. It records that the mail was opened, not what anyone read.

Treat that last one loosely. Mail apps that block images never register an open at all, and Apple Mail loads the image on the reader's behalf whether or not anybody looks. We show it to organizers alongside the more reliable fact of whether the guest actually replied.

Contacts

If you import from your phone's contacts, the app reads your address book on the device and shows it to you. Only the people you actually select are sent to us. The rest never leave your phone. When the app shows which contacts are already on a list, that comparison also happens on your phone.

On the device

So a door keeps working without a signal, the app saves a copy of the guest list on the phone: names, who is checked in, and a one-way fingerprint of each entry code — never the codes themselves. That copy deletes itself 24 hours after the event starts, and sooner if the event ends or the person is removed from it.

That copy is protected by the phone's own storage protection. It is not separately encrypted by the app, which is a limitation we would rather state than imply otherwise.

How long it is kept

Guest details are kept for as long as the account that holds them. Nothing is removed on a timer: a guest list you use again, and the lasting codes for an event that repeats, go on working until you decide otherwise.

You can remove a guest or delete an event at any time. Deleting an event deletes its guest list, everyone's codes and its attendance record outright. Closing your account deletes everything in it.

Who else is involved

• Supabase — hosts the database and handles sign-in.
• Resend — delivers sign-in emails and invitations.

That is the whole list. There is no advertising, no analytics, no tracking across other apps or websites, and nothing is sold or shared for marketing.

Your choices

• Camera and contacts access can be refused or withdrawn in iOS Settings; the app works without either, with fewer shortcuts.
• Deleting an event removes everything in it, including anyone removed from its guest list in the last 30 days.
• You can close your account yourself, on the website or in the app. Everything in it is deleted after five days, and you can change your mind until then. Events you are still running have to be ended or handed to someone else first.

Guests who want their details removed

If you are on someone's guest list and want your details removed, ask the organizer who invited you — they can remove you directly. If you cannot reach them, email us and we will help.

Removal is not instant erasure. Because a guest list can be hundreds of people and a wrong tap is easy, somebody taken off a list is held for 30 days so the organizer can undo a mistake, and is then deleted permanently. During those 30 days their entry code no longer works, they are not counted, and they receive nothing. If you want your details erased sooner than that, email us and we will do it.

Children

QR Code Meet is a tool for running events and is not directed at children.

Changes

If this changes in a way that affects what is collected or how long it is kept, the date at the top changes with it.
